Who actually gets tax refunds
Honest framing first: most UK employees pay the right tax most of the time. Refunds concentrate in predictable pockets, and nearly all of them trace back to one root cause — PAYE estimating your year wrongly. The classic cases:
- An emergency or wrong tax code (BR, D0, 0T or a W1/M1 suffix) that stayed live too long after a job change
- A mid-year job change or gap where your Personal Allowance was never fully used by year end
- Work expenses — uniform washing, business mileage, professional fees, tools — that were never claimed
- Leaving the UK part-way through a tax year (the P85 route)
- Marriage Allowance not claimed by an eligible couple, including backdated years
- CIS deductions at 20/30% that overshoot the real Self Assessment bill once expenses are counted
- Pension contributions where higher-rate relief was never claimed

What you need before you start
Ten minutes of preparation makes every route faster:
- Your P60 for the relevant tax year (or a P45 if you left a job) — it shows total pay and total tax deducted
- Your P45 part 2 and 3 if you're claiming after leaving the UK or between jobs
- For expense claims: a note of which years, which costs, and rough evidence (receipts are needed only for actual-cost claims, not flat rates)
- Your National Insurance number, date of birth and current address
- A Government Gateway account for online claims — free to create, and it also unlocks your Personal Tax Account where HMRC's own records live

Step by step: the online refund claim (P800/PAYE)
- Sign in to your Personal Tax Account (or create a Government Gateway ID).
- Find the tax year in question and compare HMRC's figures to your P60.
- If the account shows an overpayment, click through to claim online and enter bank details.
- Money typically lands within five working days. If the account shows nothing but your own maths says otherwise, call the Income Tax helpline — discrepancies are often incomplete employer records, which helpline staff can see and fix.
How the refund industry makes its money — and its traps
Claims management companies are legal, but their mechanics deserve daylight:
- The fee. Typically 25–48% plus VAT of your refund. On a £1,000 Marriage Allowance backclaim, that's up to £580 gone — for a form you could have filed in five minutes.
- The deed of assignment. Many agents structure claims so HMRC pays them first, and they forward the remainder. Revoking one can be awkward and slow.
- The data grab. Some ask for your Government Gateway credentials. Legitimate claims never need a third party inside your tax account; handing over those credentials breaches HMRC's own security guidance.
- The upsell loop. "You may also qualify for…" funnels you into further assigned claims, each taking its own cut.
If your claim is refused or ignored
HMRC decisions can be appealed. Start with the original decision letter — it explains the review process, which begins with asking HMRC to look again (free), then a formal appeal if needed. Time limits, interest and payment methods
- Four tax years back for most employment income tax claims.
- HMRC pays repayment interest on money it has held too long — added automatically.
